Bulk Records Use Case

Switch EFT Templates on NetSuite Bank Accounts in Bulk

Download every company bank account to one sheet, pick the new EFT template on each account that changes and upload them together. Bulk Records brings the payment file template fields into Excel with the rest of the bank record.

The Job

A new payment format, on every bank account at once

Electronic Bank Payments builds each payment file from the template set on the company bank account: an EFT template for payments, a DD template for direct debits and a Positive Pay template for check files. When a bank moves to a new file spec, or payments move to a new format, every account on the old template needs the new one.

The EFT, DD and Positive Pay template fields aren’t available in CSV import. A Bulk Records sheet downloads them with each bank account, so the whole switch happens in Excel: a column of new values and one upload.

In the Template Portal

Set up a company bank template

Custom records are on their own tab in the Template Portal, listed with their script IDs. On the sheet, each bank account is one row.

A starting point. These are the settings we used for this job. Add any columns your team works with, rename them, and set the filters and dropdowns to suit. You can edit the template whenever your needs change.

  1. Pick the record and name the template

    Template Basics in the docs
    Record Type
The Custom records tab, then Company Bank Details (customrecord_2663_bank_details)
    Template Name
For example, “Company bank payment templates”
    Visibility
Shared, so AP and administrators use one template
  2. Add
EFT Template. Add DD Template and Positive Pay Template too to see all three on each row.
    Keep
Name and GL Bank Account to tell the accounts apart, and Payment Limit and Approval Type, which NetSuite needs on every bank account.
    Optional
Legal Name, File Cabinet Location, Print Company Name and Owner start on the template. Remove them for a shorter sheet, or keep them to review those values too.
    Column settings
Mark Name and GL Bank Account Read only. Read-only columns are there for reference and stay as they are in NetSuite.
  3. Set how records download

    Template Filters in the docs
    Filter By
None (no pre-selected filter), already set for custom records. Every bank account downloads.
  4. Load the dropdown lists

    Template Dropdowns in the docs
EFT, DD and Positive Pay Template
Their source list, your payment file templates, is detected for you. Select Fetch from NetSuite to load it.
On the Sheet

Switch the template in four steps

One sheet, one column, one upload.

  1. Download the bank accounts

Open a sheet from the template, leave Filter By on None and select Download. Each company bank account comes down as one row with its templates.

  2. Pick the new EFT template

Choose the new template from the EFT Template dropdown on each account that moves, or fill it down. Accounts you leave alone are skipped.

  3. Validate the sheet

Validate Sheet marks each changed account Will update and counts the rest as unchanged.

  4. Upload and check

Select Add/Edit. Each row’s Status links to its bank account in NetSuite, and a fresh download shows the template NetSuite saved. If NetSuite needs anything more on an account, its message shows on the row.

In the docs: Template Basics

Example

Two bank accounts on a new EFT template

Two accounts now show ACH - CTX (Free Text) and the other two stay as they are. Validate Sheet counts 2 to update and 2 unchanged.

Company Bank Details sheet in Excel with the EFT Template changed on two accounts, and Validate Sheet reporting 2 to update and 2 unchanged
Good to Know

Before you upload

  • Pick an EFT format for EFT Template, a DD format for DD Template and a Positive Pay format for Positive Pay Template, so each field gets a template of its own type.
  • NetSuite saves a bank account once its required fields are filled in, as it does in its own screens. Keep Payment Limit and Approval Type on the sheet to see them at a glance.
  • Switch one account and send a test file first, then switch the rest with confidence.
  • Uploads run as your NetSuite role, so use a role with edit access to Company Bank Details.
Questions?

Bank payment templates in Bulk Records: FAQ

Q
Can I change the EFT template on many NetSuite bank accounts at once?
Yes. Build a Bulk Records template on Company Bank Details with the EFT Template column, download the bank accounts, pick the new template on each one that moves and upload them together.
Q
Can I do this with a CSV import?
No. The EFT, DD and Positive Pay template fields aren’t available in CSV import. With Finsyte you download the bank accounts, change the templates and upload them, all from Excel.
Q
Does it work for vendor bank details too?
Yes. A template on Bank Details downloads each vendor’s bank record with its Payment File Format, another field CSV import doesn’t offer, and you change and upload it the same way.
Q
Does Bulk Records work with other Electronic Bank Payments records?
Company Bank Details, Bank Details and Payment File Format are custom records, and Bulk Records lists every active custom record type in your account on the Custom records tab of the Template Portal.
