Refresh NetSuite Data in Excel

Bring the latest NetSuite numbers into your report when you choose: the whole workbook, one sheet, or just the cells you select.

What It Does

Every Finsyte number is a formula, so a report never goes stale: refresh it and it reads NetSuite again. You decide how much to refresh, and when you need to share a report, a static snapshot freezes it as values.

  • Refresh the entire workbook or just the current sheet
  • Right-click › Refresh Selection for a single cell or a range
  • Refresh cached lists such as accounts, subsidiaries, periods and segments on their own
  • Pause the connection while you design, then resume
  • Save a static snapshot to share a report with people who don’t use Finsyte
How It Works

Choose what to refresh in four steps

  1. Open Refresh Data

    On the Finsyte ribbon, open Refresh Data.

  2. Pick the scope

    Choose Entire Workbook or Current Sheet, or right-click cells and choose Refresh Selection.

  3. Watch it fill in

    Progress shows in the corner of Excel, and Cancel stops the fetch if you need Excel back.

  4. Share a snapshot

    Save Static Snapshot writes a copy of the workbook or selected sheets with values in place of Finsyte functions.

From live workbook to shareable report

A Finsyte report stays connected to NetSuite. That makes refreshing simple, and it makes controlling the refresh worth a moment of thought, especially on large workbooks and in the middle of a close.

Current by default, immediate on demand

By default, Finsyte refreshes data from NetSuite periodically on its own. The Refresh Data options are there for the moments you need the latest numbers right away, such as after a journal entry posts during the close.

Refresh at the level you need

Entire Workbook recalculates every Finsyte function in every sheet and refreshes cached lists. Current Sheet limits it to the active sheet. To update one number, or a block of them, select the cells, right-click and choose Refresh Selection.

Lists stay quick

Finsyte caches lists that rarely change, such as GL accounts, subsidiaries, periods, budget categories and segments, so dropdowns and functions don’t wait on NetSuite. Refresh Data › List Data pulls them fresh when you add an account or a department, and List Refresh Options in Preferences choose which lists it covers.

Fit the refresh to the close

During month end, refresh just the sheet you are reconciling after each adjustment, and save the full workbook refresh for the final review. Progress shows in the corner of Excel, and Cancel stops a long refresh if you need Excel back.

Design without waiting

Pause Connection stops functions from calling NetSuite while you build or rearrange a complex report. Choose Resume Connection when the layout is ready, and everything fills in at once.

Power Query too

Refresh Data Connections runs Excel’s Refresh All, so Power Query tables built on Saved Search results update together with the rest of the workbook.

Share a point-in-time copy

Save Static Snapshot exports the workbook, the current worksheet or the sheets you choose to a new file in which Finsyte functions are replaced by their values, ready to send to people who don’t have Finsyte. Right-click a sheet tab to keep a static copy inside the workbook, or right-click cells and choose Static Snapshot Selection to freeze history you no longer need to re-query.

Know when it last updated

The LastDataRefresh function shows when the workbook last received data from NetSuite, a useful line under the title of a report you are about to send. See the Excel functions page for the rest of the library.

How do I refresh NetSuite data in Excel?
On the Finsyte ribbon, open Refresh Data and choose Entire Workbook or Current Sheet. To refresh specific cells, select them, right-click and choose Refresh Selection.

Can I refresh just one cell?
Yes. Right-click the cell, or a range of cells, and choose Refresh Selection. Only those cells go back to NetSuite.

How do I share a report with someone who doesn’t use Finsyte?
Use Save Static Snapshot to export the workbook, the current sheet or selected sheets to a new file with values in place of Finsyte functions.

Why don’t new accounts or departments show up in my dropdowns?
Finsyte caches lists that rarely change. Choose Refresh Data › List Data to pull the latest accounts, subsidiaries, periods and segments from NetSuite.

What if a cell shows #N/A after a refresh?
Choose Refresh Data › Purge Function Cache. It clears saved function results so Finsyte pulls fresh values from NetSuite.

Can I stop Finsyte from calling NetSuite while I edit a report?
Yes. Choose Pause Connection while you design, then Resume Connection to fetch everything at once.
