Drill Down into NetSuite from Excel

Right-click any NetSuite balance in your Excel report to see what makes it up, by segment, by period or line by line.

What It Does

Every balance comes with its detail

A Finsyte balance is a live formula, so Finsyte knows exactly what it adds up. Right-click it and choose Drill Down, and a new sheet in your workbook breaks that one number down, within the same parameters as the cell.

  • Break a balance down by subsidiary, department, class, location, entity, transaction type or period
  • Custom segments appear in the Drill Down menu alongside the standard ones
  • List the transaction lines behind any amount, with links to each transaction in NetSuite
  • A Return to source link takes you back to the cell you started from

How It Works

From a report total to the source transaction in four steps

  1. Right-click a balance

    Any cell with a Finsyte balance function, such as GLAccountBalance, offers Drill Down at the bottom of the menu.

  2. Pick a breakdown

    Choose a segment, Period, or Transaction Lines. Finsyte opens a new sheet with the result.

  3. Keep drilling

    Right-click an amount on the drill-down sheet to break it down again, down to individual transaction lines.

  4. Open it in NetSuite

    Transaction lines link to their transactions in NetSuite, and Return to source brings you back to the report.

From Summary to Source

Explain any number without leaving Excel

Month-end questions usually start with one number: why is revenue up, what hit this expense line, which subsidiary moved. Drill Down answers them where the question starts, in the report.

Scoped to the cell’s own parameters

A drill-down sheet covers exactly what the cell covers: the same account, subsidiary, fiscal year, period range and filters. The top of the sheet lists every argument from the source formula, so you always know what you are looking at.

By segment, period or transaction line

The Drill Down menu offers Subsidiary, Department, Class, Location, Entity, Transaction Type and Period, plus your custom segments, and Transaction Lines for the individual postings. A Period drill-down of a balance sheet account at YTD includes the prior year’s balance, so the periods add up to the balance in the cell.

All the way to NetSuite

At the transaction-line level, each line links to its transaction in NetSuite. It is the quickest way to trace an amount that doesn’t look right, then fix it at the source.

Several cells, or a whole rollup

Select several cells that use the same function with the same parameters except the account, and Drill Down combines them into one sheet. A cell that totals a summary account drills across every account in the rollup, and its menu adds Base Accounts to list each underlying account on its own row.

Explain variances at month end

Pair Drill Down with a comparative report. When a line on the comparative income statement moves more than you expect, drill into each period’s balance by department or entity, then down to the transactions behind the change, and note the explanation beside the number. Each drill-down sheet keeps the parameters it used, so the workbook shows how every variance was traced.

Choose the columns

The Drilldown Options pane in Finsyte Preferences sets which columns the results show and in what order, including Subsidiary and your custom segments.

Works across the report

Drill Down works on GLAccountBalance and its debit and credit versions, item quantities and statistical accounts, so it is available in the report templates and in any report you build with Finsyte functions.
