Bulk Records Use Case

Upload Inventory Adjustments and Bin Transfers to NetSuite

Add stock to NetSuite from a spreadsheet, with each new lot on its own row with its expiry and status, or move stock between bins in one upload. Load opening stock for a new warehouse the same way.

The Job

Stock lists live in spreadsheets. Adjustments happen in NetSuite.

A new warehouse opens with stock already on its shelves, a delivery comes in outside a purchase order, a pallet moves to another bin. The numbers arrive as a spreadsheet, often with lots, bins and statuses.

On a Bulk Records sheet each adjustment line is a row, and each lot in it is another row with its own quantity, so the spreadsheet maps across almost cell for cell.

An adjustment template with inventory detail

Lot-numbered items need the Inventory Assignment columns. For other items, NetSuite fills in the detail itself, so leave those cells blank.

A starting point. These are the settings we used for this job. Add any columns your team works with, rename them, and set the filters and dropdowns to suit. You can edit the template whenever your needs change.

  1. Pick the record and name the template

    Template Basics in the docs
    Record Type
Inventory Adjustment (and Bin Transfer for bin moves)
    Include row grouping column
Checked, so each adjustment’s rows stay together
  2. Body Fields
Subsidiary, Date, Posting Period, Adjustment Account and Memo (all recommended)
    Inventory
Item, Location and Adjust Qty. By (recommended), plus Est. Unit Cost for stock coming in
    Inventory Assignment
The columns you need: Quantity, Serial/Lot Number, Inventory Status and Expiration Date for lot-numbered items, plus Bin Number where you choose the bin.
  3. Set how records download

    Template Filters in the docs
    Optional filters
    None needed to create adjustments.
  4. Load the dropdown lists

    Template Dropdowns in the docs
    Location, Item
    Finsyte’s own lists, already set.
    Bin Number
Type the bin’s name, such as FGStorage-01.
    Inventory Status
Entered as id_ plus the status’s internal ID, such as id_1.
On the Sheet

Bring stock in in four steps

Start from the warehouse’s or supplier’s spreadsheet.

  1. Lay out the lines

Enter one row per item line with its Adjust Qty. By. For lot-numbered items, use a row per lot, each with its own quantity, expiry and status, and the same word in Inventory: Line ID. See how the detail looks.

  2. Group the adjustments

Give every row of one adjustment the same Record Group, for example one adjustment per location.

  3. Validate the sheet

Validate Sheet checks every number, date and list value, and flags a closed posting period before anything is sent.

  4. Create the adjustments

Select Create Inventory Adjustments. If NetSuite needs anything more on a line, its reason shows on its cell.

In the docs: Inventory Detail

Example

Two adjustments, one per location

Three lines at Boston share Group 1 and two at San Francisco share Group 2. Validate Sheet counts 2 to create.

Good to Know

Before you upload

  • Each line’s assignment rows must add up to its quantity.
  • Inventory statuses are entered as id_ and the status’s internal ID, such as id_1.
  • Leave the Inventory Assignment cells blank on new lines of items without lot numbers. NetSuite builds their detail.
  • New lot lines share a placeholder word in Line ID. See lot-numbered items.
  • Adjustments dated in a closed or locked period are flagged by Validate Sheet before upload.
