NetSuite Lists and Setup Records from Excel
Create and update NetSuite accounts, departments, classes, locations, terms, price levels and other setup lists from Excel, in bulk.
Screen recording in Excel with on-screen captions. Caption 1: Insert a Bulk Records sheet. On the Finsyte ribbon, Record Edit › Bulk Records lists the saved templates by record type, and Opportunities inserts an Opportunities sheet with body field columns and item line columns. Caption 2: Download the records you need. Start is set to 6/1/2025 and End to 7/31/2025 to filter on expected close date, and Download Opportunities fills the sheet with 7 opportunities and their 10 item lines. Caption 3: Edit them in Excel. Item quantities are changed on three opportunities: SAF200 from 20 to 15, Welding Regulator Gauge from 5 to 3 and 25 HP Rotary Vacuum Pump from 2 to 1. Caption 4: Upload the changes. Add/Edit Opportunities sends the sheet to NetSuite. Caption 5: Each row links to its record in NetSuite. The three changed opportunities show Updated Opportunity links and the amounts NetSuite recalculated, 6,900, 3,117.6 and 15,196; the other rows read Skipped (no changes).
Lists and setup in bulk, from Excel
A new subsidiary, a reorganization or an acquisition starts with setup lists: accounts to add, departments to rename, locations to open. - Yes. Add a row for each new account, leaving Internal ID blank, and upload. Bulk Records creates the accounts in NetSuite and flags any value NetSuite rejects on its cell.
- QCan I add departments, classes and locations in bulk?
- Yes. Department, class and location are supported record types, so you can create or update them from a sheet and upload them together.
- QWhich setup lists are supported?
- Accounts, departments, classes, locations, subsidiaries, currencies and exchange rates, terms, price levels and pricing, tax types and nexuses, accounting periods, units types, bins, and customer, vendor, contact and expense categories, among others.
- QCan I rename departments or classes in bulk?
- Yes. Download them, change the names or other fields in the sheet, and upload. Each row with an Internal ID updates that record.
- QWill an upload change records I didn’t edit?
- No. Each downloaded record is stamped with a checksum, so an upload sends only the records you changed.
