How to Bulk Export NetSuite Records to Excel
Bring many NetSuite records into Excel in one download with a Bulk Records template. Set up filters once, download only the records you need, each on its own row and linked to NetSuite, then edit them and upload the changes. Replace CSV exports and imports with one connected sheet.

Caption 2: Test them against NetSuite. Test filters checks the fields in order, top to bottom, and every one is marked Works. Caption 3: Set the filter on the sheet. On the Invoices sheet, with Filter By on tranDate, 3/1/2025 is typed into Start and 3/31/2025 into End. Caption 4: Download the records you need. Download Invoices is selected on the Finsyte ribbon, the banner counts the invoices as they arrive, and the sheet fills with March’s invoices, each row ending in a Downloaded Invoice link.
Bulk export NetSuite records to Excel in four steps
Filters are set up once, in the template, so every download brings in only the records you need.
Add filters to the template
In the Template Portal’s Filters step, choose the fields people can filter on, such as the transaction date.
Test them
Test filters asks NetSuite whether it accepts each field as a filter. Every filter has to pass before the template saves.
Set the filter on the sheet
Choose a field in Filter By and enter a Start value, plus an End for a range. Choose None to download everything.
Download
Select Download on the Finsyte ribbon. Rows fill in as NetSuite returns them.
Add filters to the template, then test them
Open Record Edit › Bulk Records › Manage Templates… and go to the Filters step of the Template Portal. A new template starts with recommended filters for its record type; add any other body field with Add an optional filter.
Then select Test filters. NetSuite checks each field and the portal marks it Works or Failed. The filters that pass become the Filter By list on every sheet made from the template.
A default filter is optional. It applies to every download from the template’s sheets, such as invoices in US dollars.

The view opens on the whole Excel window with the Manage Templates pane on the right, then moves in on the Invoices template’s Filters step, where tranDate, tranId, entity and postingPeriod are listed with tranDate preselected; Add an optional filter is selected, Due Date is picked from the field list, and dueDate joins the bottom of the list marked Untested. Caption 2: Test the filters against NetSuite. Test filters checks the fields in order, top to bottom, marking each row Checking and then Works while the line above the list counts through them. Caption 3: Every filter shows Works. The line reads Checked 5 optional filters — all accepted by NetSuite, and every row from tranDate to dueDate is marked Works. Caption 4: Save the template. The Review step shows the template name Invoices and record type Invoice, and Save template returns to the template list.
Set the filter on the sheet
Choose a field in Filter By, enter a value in Start, and add an End value for a date or number range. What Start and End do for each kind of field.
Filter on any field your template’s filters allow, such as:
- Transaction date, due date, created or last modified date
- Customer or vendor
- Posting period
- Document number or internal ID
- Location or currency
- Custom body fields
Download only the records you need
Filter the download, not the spreadsheet: by date, customer, posting period or any other filter on the template, or download every record.
By date
Download one date or a date range
Keep Filter By on tranDate, the transaction date. Enter a date in Start for that day’s records, or add an End date for a range: both dates are included, so 3/1/2025 to 3/31/2025 brings down every invoice dated in March.
- Filter By
- tranDate
- Start
- 3/1/2025
- End
- 3/31/2025
Screen recording in Excel with on-screen captions. Caption 1: One date: enter it in Start. With Filter By on tranDate, 3/18/2025 is typed into Start and End is left blank. Caption 2: Download that day’s invoices. Download Invoices is selected on the Finsyte ribbon and the sheet fills with the invoices dated that day, each with a Downloaded Invoice link. Caption 3: For a range, add an End date. On an empty Invoices sheet, 3/1/2025 is typed into Start and 3/31/2025 into End. Caption 4: Download every invoice in the range. The banner counts the invoices as they arrive, then reads Download complete with the filter, and the sheet scrolls through March’s invoices.
By customer
Download one customer’s records
Set Filter By to entity, the customer, and type the customer’s name in Start. Download brings down only that customer’s invoices, from every period.
- Filter By
- entity
- Start
- Customer name
- End
- blank

Caption 2: Enter the customer in Start. A customer’s name is typed into Start. Caption 3: Download that customer’s invoices. Download Invoices is selected on the Finsyte ribbon and the sheet fills with that customer’s invoices from every period, each with a Downloaded Invoice link.
By posting period
Download one posting period
Set Filter By to postingPeriod and enter the period, such as Sep 2026, in Start. Download brings down the invoices posted to that period, ready for month-end review.
- Filter By
- postingPeriod
- Start
- Sep 2026
- End
- blank

Caption 2: Enter the period in Start. Sep 2026 is typed into Start. Caption 3: Download the invoices posted to it. Download Invoices is selected on the Finsyte ribbon and the sheet fills with the invoices posted to Sep 2026, each with a Downloaded Invoice link.
No filter
Download every record
Set Filter By to None and leave Start and End blank. Download brings down every record the template allows: here, every invoice. For a large record type, a date filter or a default filter keeps the sheet to what you need.
- Filter By
- None
- Start
- blank
- End
- blank

Caption 2: Download every invoice. Download Invoices is selected on the Finsyte ribbon and the banner counts the invoices as they arrive. Caption 3: Every invoice, each linked to NetSuite. The banner reads Download complete with the number of records, and every row ends in a Downloaded Invoice link.
What a download writes to the sheet
- Only the records that match your filter, with no extra rows to delete
- Each record’s Internal ID, so an upload updates that record instead of creating a new one
- A Status link on every row, Downloaded Invoice followed by the invoice number, that opens the record in NetSuite
- One row per line when the template has line columns, with each line’s Line ID
Downloading records: FAQ
- QHow do I export all NetSuite records of a type to Excel?
- Set Filter By to None, leave Start and End blank, and select Download. You get every record the template allows: every record of the type, or the ones that match the template’s default filter if it has one.
- QCan I export only some NetSuite records to Excel?
- Yes. Choose a field in Filter By and enter a value or a range, and only the matching records come into the sheet. A default filter on the template limits every download, such as to invoices in US dollars.
- QCan Bulk Records replace CSV import and export?
- Yes. Records come straight into an Excel sheet that stays connected to NetSuite, and the same sheet uploads your changes.
- QWhy is the Download button greyed out?
- Filter By names a field but Start and End are blank, or the values don’t suit the field, such as an End date on a list field. Enter a Start value, or set Filter By to None to download without a condition.
- QHow do I export NetSuite transactions for a date range?
- Keep Filter By on tranDate, enter the first day in Start and the last in End, and select Download. Both dates are included, so 3/1/2025 to 3/31/2025 returns every transaction dated in March.
- QWhich fields can I filter a NetSuite export on?
- Any body field you add to the template’s optional filters that passes Test filters, such as the transaction date, customer, posting period, document number, location, currency or a custom field. NetSuite decides which fields it accepts as filters, and the test checks each one.
- QHow do I filter on a field that isn’t in the Filter By list?
- Add it to the template’s optional filters in the Template Portal and select Test filters. Filters work on body fields, and NetSuite has to accept the field as a search filter; the test tells you if it doesn’t.
- QWhat does a default filter do?
- It applies to every download from the template’s sheets, on top of whatever Filter By, Start and End say, such as keeping every download to invoices in US dollars. To change it, edit the template and create a new sheet.
- QDoes downloading change anything in NetSuite?
- No. Download only reads records. Nothing goes to NetSuite until you choose to upload.
- QWhat happens to the rows already on the sheet?
- Download clears them first, then writes the new results. Copy anything you want to keep to another sheet before you download.
- QDoes this work for records other than invoices?
- Yes. The same steps work for each of the 155 standard record types Bulk Records supports, and for custom records. Transactions filter on the transaction date with tranDate.
